I really like <a href=\"https:\/\/www.microsoft.com\/en-gb\/microsoft-365\/excel\">Microsoft Excel<\/a>. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">There, I&#8217;ve said it. Excel may not be the perfect tool in some scenarios (take <a href=\"https:\/\/www.markwilson.co.uk\/blog\/2021\/11\/step-back-from-the-problem-and-think-about-what-good-looks-like.htm\">my example last year<\/a>, which should almost certainly have used Power BI) but it is the &#8220;Swiss Army Knife&#8221; of the IT world. End users and IT admins alike have taken the humble spreadsheet programme and twisted it to suit their purposes. I can do so many things with it.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">The problem &#8211; a table of names in Word<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Like a few weeks ago, when I was reviewing a document. The document contained a table with a list of stakeholders. So as not to offend (in a very hierarchical organisation), it had been decided that the names should be in alphabetical order. Except the author had done that by first (given) name, not by last (family\/surname) name. Rather than going back and asking them to fix it, I decided I would do so &#8211; as it should only take a few minutes.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Word tables are not always that easy to work with, but copying the data into a spreadsheet would let me mangle it, and then paste it back again. Incidentally, <a href=\"https:\/\/code.visualstudio.com\/\">Visual Studio Code<\/a> is also a fantastic text editor and I often use it for complex search and replace operations.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Moving the data to Excel for processing<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">In this case, I took the two columns from Word (Name, Job Title) and pasted them into Excel. That gives me something like this (massively simplified for the purposes of this blog post &#8211; I wouldn&#8217;t really go to this much effort for a three-line table! I also made up the names for this example&#8230;):<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td>Mark Wilson<\/td><td>Principal Architect<\/td><\/tr><tr><td>Brendan Clarke<\/td><td>Director<\/td><\/tr><tr><td>Roger Quinn<\/td><td>Manager<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Splitting first and last names<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Next, I added a column to the right of Name, and split the Name column, <a href=\"https:\/\/support.microsoft.com\/en-gb\/office\/split-a-cell-f1804d0c-e180-4ed0-a2ae-973a0b7c6a23\">using Excel&#8217;s Text to Column wizard<\/a> and a space as a delimiter. That gave me separate columns for First Name and Last Name.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td>Mark<\/td><td>Wilson<\/td><td>Principal Architect<\/td><\/tr><tr><td>Brendan<\/td><td>Clarke<\/td><td>Director<\/td><\/tr><tr><td>Roger<\/td><td>Quinn<\/td><td>Manager<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Sorting the data<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">I then sorted the data on Last Names:<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td>Brendan<\/td><td>Clarke<\/td><td>Director<\/td><\/tr><tr><td>Roger<\/td><td>Quinn<\/td><td>Manager<\/td><\/tr><tr><td>Mark<\/td><td>Wilson<\/td><td>Principal Architect<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Combining first and last names<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Next, I used <a href=\"https:\/\/support.microsoft.com\/en-gb\/office\/concatenate-function-8f8ae884-2ca8-4f7a-b093-75d702bea31d\">Excel&#8217;s Concatenate function<\/a> to merge the sorted names back into a single field, for example:<\/p>\n\n\n\n<pre class=\"wp-block-preformatted\">=CONCATENATE(A1,\" \",B1)<\/pre>\n\n\n\n<p class=\"wp-block-paragraph\">The result is something like this:<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td>Brendan<\/td><td>Clarke<\/td><td>Brendan Clarke<\/td><td>Director<\/td><\/tr><tr><td>Roger<\/td><td>Quinn<\/td><td>Roger Quinn<\/td><td>Manager<\/td><\/tr><tr><td>Mark<\/td><td>Wilson<\/td><td>Mark Wilson<\/td><td>Principal Architect<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Moving the processed data back to Word<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Finally, I took the processed data and copied\/pasted the combined Name and Job Title text back to Word.<\/p>\n\n\n\n<figure class=\"wp-block-table is-style-stripes\"><table><thead><tr><th>Name<\/th><th>Job Role<\/th><\/tr><\/thead><tbody><tr><td>Brendan Clarke<\/td><td>Director<\/td><\/tr><tr><td>Roger Quinn<\/td><td>Manager<\/td><\/tr><tr><td>Mark Wilson<\/td><td>Principal Architect<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">  <\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><em>Featured image by\u00a0<a href=\"https:\/\/pixabay.com\/users\/publicdomainpictures-14\/?utm_source=link-attribution&amp;utm_medium=referral&amp;utm_campaign=image&amp;utm_content=2185\">PublicDomainPictures<\/a>\u00a0from\u00a0<a href=\"https:\/\/pixabay.com\/?utm_source=link-attribution&amp;utm_medium=referral&amp;utm_campaign=image&amp;utm_content=2185\">Pixabay<\/a>.<\/em><\/p>\n","protected":false},"excerpt":{"rendered":"<p>I&#8217;m going to share a secret with you all, dear readers.
